What SaleFlow provides
SaleFlow provides software for organizing and recording purebred livestock sales, including lots, bidders, auction results, invoices, payments, consignor settlements, transfers, deliveries and reports.
SaleFlow is not the auctioneer, seller, buyer, payment custodian or livestock transporter. Recording a buyer's payment in SaleFlow does not collect or transfer that money. You remain responsible for the underlying sale, the accuracy of records and documents, and your legal and tax obligations. SaleFlow does not provide legal, tax or accounting advice.
Your account and sale team
Provide accurate account information and keep your credentials secure. Only people you authorize may use your account's sale information. Tell us promptly if you suspect unauthorized access.
The sale host or sale-management business purchases the licence. Clerks can perform work for that customer; purchasing a licence is not a requirement imposed on each freelance clerk. Annual plans cover sales where the subscribing business is the publicly verifiable sale management of record. They do not allow unrelated sales to be pooled under one subscription.
Auction recording currently requires a working internet connection and one person recording results at a time. Arrange reliable connectivity and keep appropriate sale records or a fallback clerking process. Use the available exports and printed documents to keep your own copies.
Plans and charges
Prices are in Canadian dollars, plus applicable GST. The total for your purchase is shown before payment.
| Plan | Price and billing |
|---|---|
| Single Sale | $495 for one sale. A one-time purchase, with no annual subscription. |
| Professional | $995 per year, plus a separate $275 fee for each sale created. The annual subscription renews automatically unless cancelled before renewal. |
| Sale Management | $5,995 per year including 20 sales, then $150 per additional sale. This plan is arranged directly with us; its billing schedule and renewal arrangements are confirmed in writing before purchase. |
On Professional, creating a sale incurs the separate per-sale fee. That charge is associated with creating the sale, not with the auction date or the eventual completion of the auction. The billing flow may invoice and collect that fee separately. Contact us about an accidental creation or cancelled sale rather than assuming removing or changing a sale reverses its fee.
By purchasing an automatically renewing subscription, you authorize the disclosed recurring charge. Any separate per-sale billing authorization will be presented as part of the applicable purchase or sale-creation flow. Failed payments may be retried, and unpaid amounts remain due unless corrected or waived. We will contact you about payment problems.
We will tell you before a price change applies to a future renewal and give you an opportunity to cancel before it takes effect. A price change does not retroactively change a purchase already made.
Cancellation and existing sales
You can request cancellation by emailing hello@saleflow.ca before your next renewal. Our Cancellation & Refund Policy explains what to include and what happens next.
An annual subscription ending does not, by itself, prevent recording legitimate follow-up work on an existing paid-for sale, such as payments, transfers or deliveries. Creating new sales requires the applicable purchase or current entitlement. This is not a promise of perpetual hosting or indefinite data retention.
Your information and permitted use
You retain your rights in the information you enter. You authorize us and our service providers to process that information as needed to provide, maintain and support SaleFlow, as described in the Privacy Policy.
You must have authority to enter information about other people and to send documents or publish results. Review imported information, prices, buyer assignments, taxes and financial documents before relying on them. Correct errors through the available correction or reversal processes.
Do not use SaleFlow to commit fraud, access another customer's information, interfere with the service, distribute malicious software or break the law. SaleFlow's software, design and branding remain the property of their respective owners; a plan gives you permission to use the service, not ownership of the software.
Ringside submissions
Submitting results to The Ringside Report is optional and is subject to review before publication. A submission may disclose buyer names, consignor names, lot details and purchase prices. You are responsible for ensuring that the submission is accurate and that you have authority to disclose it. Publication and a particular publication time are not guaranteed.
Support and availability
For setup help or a problem, email hello@saleflow.ca. Include the sale name and a description of what happened, but do not send passwords or full card details.
We work to provide a useful and reliable service, but cannot promise uninterrupted availability or that every error will be prevented. Connectivity, maintenance and third-party outages can affect the service. Keep copies of important records and an appropriate fallback for live sale work. Nothing here removes a remedy you are entitled to under applicable law.
Suspension or service closure
We may restrict access where reasonably necessary to address unlawful use, a material breach of these terms or a serious security risk. Where practical, we will explain the issue and give you an opportunity to resolve it. Ordinary expiry of a subscription is governed by the existing-sale rule above.
If we discontinue the service, we will give reasonable advance notice and an opportunity to export records where reasonably practicable. Any refund or other remedy required by law remains available.
Responsibility and disputes
You are responsible for operating your sale and reviewing its records. To the extent permitted by law, SaleFlow is not responsible for losses caused by inaccurate information you supply, unauthorized use resulting from your failure to protect credentials, or events outside our reasonable control. This does not excuse our own conduct where the law makes us responsible, or limit liability that cannot lawfully be limited.
If a problem arises, contact hello@saleflow.ca so we can try to resolve it. These terms are governed by Alberta law and applicable Canadian federal law, subject to any mandatory protections and rights to bring a claim in another jurisdiction. Nothing requires you to give up a non-waivable right or submit to mandatory arbitration.
We may update these terms for future use of the service. Material changes will be communicated in advance where appropriate, and we will seek fresh agreement where required. Updated terms do not retroactively remove rights attached to an earlier purchase.
